As a wedding planner, you know that planning isn\u2019t your only responsibility. Day-of coordination can be the toughest and most stressful part of the job. No matter how well you prepare, and how much time you put in, some things are just out of your control. <\/p>\n<p>If you know wedding planning, then you know how many elements you need to account for. The venue, entertainment, music, food, cake, dress, photos, rings\u2014the list goes on and on! For each of these aspects, you rely on your vendors to deliver their essential product or service. Coordinating it all is stressful, but it\u2019s even more stressful when your vendors don\u2019t deliver. As a wedding planner, dealing with these disasters is a key part of your job. Everything. That\u2019s the short answer. It\u2019s important to look at the wedding you\u2019re planning and identify all the things that could possibly go wrong. That way, you\u2019re never taken by surprise!<\/p>\n<p><p>Here\u2019s a list of some of the possible disaster scenarios. Forgive us, it\u2019s far from short.<\/p>\n<ul>\n<li>Wedding dress stain or tear and other wardrobe malfunctions\n<li>Late or missing: officiant; photographer and\/or videographer; band, musician, or DJ; wedding cake; catering; entertainment\u2026 basically, everyone can just decide to not show up last minute\n<li>Loud, unruly, or over intoxicated guests\n<li>Raining or bad weather for an outdoor event\n<li>The programming runs late\n<li>Missing bride, groom, wedding party\n<li>Missing wedding rings\n<li>The venue refuses service or reneges on their contract\n<li>There\u2019s something off about the food, cake, music, etc.\n<li>The bride demands something on the day-of like an open bar that wasn\u2019t in the plan\n<li>Nobody\u2019s listening to the speeches. The speeches are too long and boring\n<li>A fight breaks out\n<li>The music is a dud\n<li>Emotional breakdowns\n<\/ul>\n<h2><span class=\"ez-toc-section\" id=\"How_to_Deal\"><\/span>How to Deal?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" width=\"672\" height=\"448\" src=\"https:\/\/blog.qceventplanning.com\/wp-content\/uploads\/2018\/04\/shutterstock_613161881.jpg\" alt=\"wedding planner\" class=\"alignnone size-full wp-image-14211\" srcset=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2018\/04\/shutterstock_613161881.jpg 672w, https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2018\/04\/shutterstock_613161881-300x200.jpg 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/p>\n<h3>Prepare<\/h3>\n<p>Most of the things we listed will be out of your control\u2014no matter how much you prepare ahead of time. Having a backup plan for everything on your list is like planning two weddings. Honestly, it\u2019s a waste of your time and effort. That being said, it\u2019s important to <a href=\"https:\/\/blog.qceventplanning.com\/2015\/02\/top-wedding-disasters-plan\/\" rel=\"noopener\" target=\"_blank\">prepare as best you can.<\/a><\/p>\n<p><p>If you have an outdoor venue, you should have an indoor space for people regardless. For smaller emergencies like forgotten deodorant or the appearance of a small stain on the wedding attire\u2026put together a survival kit for the couple. While you\u2019re at it, <a href=\"https:\/\/blog.qceventplanning.com\/2018\/03\/maid-honors-survival-guide-summer-wedding-season\/\" rel=\"noopener\" target=\"_blank\">ask the maid of honor to do the same.<\/a> These kits are great for wardrobe malfunctions and curing untimely headaches. And make sure you have a copy of all the vendor agreements just in case there\u2019s some last-minute confusion.<\/p>\n<p><p>These might seem like little things, but they can make a big difference! Address any potential issues that you can prepare for first and <a href=\"https:\/\/blog.qceventplanning.com\/2018\/01\/professional-wedding-planners-survival-guide\/\" rel=\"noopener\" target=\"_blank\">expect the unexpected!<\/a><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" width=\"672\" height=\"448\" src=\"https:\/\/blog.qceventplanning.com\/wp-content\/uploads\/2018\/04\/shutterstock_426330670.jpg\" alt=\"wedding planner\" class=\"alignnone size-full wp-image-14208\" srcset=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2018\/04\/shutterstock_426330670.jpg 672w, https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2018\/04\/shutterstock_426330670-300x200.jpg 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/p>\n<h3>Make connections and network<\/h3>\n<p>For things that can\u2019t be controlled \u2013 like a sick musician or a caterer that mixed up the date of the wedding \u2013 there is not much you can do. But that doesn\u2019t mean you\u2019re out of options! If you haven\u2019t been educated on <a href=\"https:\/\/blog.qceventplanning.com\/2017\/01\/6-ways-network-event-planning-certificate\/\" rel=\"noopener\" target=\"_blank\">the importance of networking and making connections,<\/a> you\u2019ve been missing out. As a wedding planner, it\u2019s extremely important to build good relationships with multiple vendors.<\/p>\n<p><p>The closer the relationship you have with your vendors, the more likely they\u2019ll help you out in a pinch. That\u2019s especially true if you\u2019re constantly bringing them business. Maybe the cake is a disaster and you can\u2019t bake a professional-looking 5-tiered cake in only a few hours. You\u2019re an event planner, not a baker after all. But, you can call up your go-to baker and they may have some pre-baked goodies they can provide you relatively quickly. Is the band a no-show? Maybe you\u2019re really close with a DJ that does a lot of your other events. These are not perfect replacements, but they\u2019re a solution nonetheless. They just do. That doesn\u2019t mean you should treat them like you\u2019re on a sinking ship. While it can be stressful at the moment, it\u2019s important to keep your cool! The last thing the bride wants to see is her wedding planner freaking out on the day of her wedding. After all, you\u2019re the one with the event planning certificate and years of experience. If you\u2019re freaking out, just imagine how the bride feels! <\/p>\n<p>Sometimes the most important thing to do is stay calm and comfort the bride. Remind her that you have everything under control and help her see the bigger picture. She might not have the cake she wanted, but that doesn\u2019t mean the day was a failure. And guests probably won\u2019t even notice. When the bride sees that you\u2019re calm, cool, and collected (even if you\u2019re not on the inside) she\u2019ll relax too. This can keep the problem under wraps. Especially when it comes to unrealistic and extravagant day-of requests. If this is the case, it\u2019s better to just get the hard part over with. Tell the bride that there\u2019s not enough time to make that happen. And if something big goes wrong? Tell the bride as soon as you know, and let her know that you\u2019re working on a fix (if it\u2019s possible).<\/p>\n<p><p>These conversations are hard, we know! Even if it\u2019s not your fault, the bride may not understand. In her eyes, you\u2019re the wedding planner and it\u2019s your responsibility to make the big day run smoothly. Regardless, you need to have honest conversations no matter how hard it is. Waiting until the bride finds out about a disaster on her own will only make her reaction worse. So, be honest!
