If you missed <a href=\"https:\/\/blog.qceventplanning.com\/2019\/09\/how-plan-large-festival-1-year-event-planner-guide\/\" target=\"_blank\" rel=\"noopener noreferrer\">Part 1: How to Plan a Large Festival in 1 Year, click here<\/a>!<\/em><\/p>\n<p>We\u2019re less than one week out from <em><a href=\"http:\/\/ingenuitycleveland.com\/ingenuityfest\/\" target=\"_blank\" rel=\"noopener noreferrer\">IngenuityFest<\/a><\/em>, and as you can imagine, it\u2019s crazy busy! I spent both Saturday and Sunday of this past weekend working. I was mostly pitching-in and helping to prepare the festival footprint for game time.<\/p>\n<p>The Marketing Manager has been stuck at the office with our graphic designer. They\u2019re working hard to confirm final signage and put the finishing touches on the printed program books and maps for festival-goers. They\u2019ve also been walking the grounds to make sure that all of the <a href=\"https:\/\/blog.qceventplanning.com\/2016\/03\/qcs-guide-to-vendor-etiquette\/\" target=\"_blank\" rel=\"noopener noreferrer\">vendors<\/a> and exhibits will fit within their assigned spaces. The Artistic Director was also finishing the CAD drawings (computer-aided design) for each festival village. These layout plans ultimately need to go to the City of Cleveland and the Fire Department ahead of the event.<\/p>\n<p>There is no shortage of things to do, and every hour is precious.<\/p>\n<p>Beyond this, there are some tasks you can only do the week prior to the festival. For example, we hosted a volunteer training session where we reviewed the festival\u2019s history, safety and security, how to escalate issues to higher ups, and various roles and responsibilities. We also made sure everyone had a walkthrough of the festival footprint so they feel comfortable navigating the space.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Send_final_reminders_to_vendors_regarding_logistics\"><\/span>Send final reminders to vendors regarding logistics<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Over the past six months, we\u2019ve booked vendors, musicians, exhibitors, theatrical performances, <a href=\"https:\/\/blog.qceventplanning.com\/2018\/09\/food-truck-catering-a-guide-for-event-managers\/\" target=\"_blank\" rel=\"noopener noreferrer\">food trucks<\/a>, and beyond. At the time, we communicated general logistical information to them. This included festival dates (and opening hours), a rough set-up time, and we answered commonly-asked questions.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" width=\"672\" height=\"448\" class=\"alignnone size-full wp-image-17399\" src=\"https:\/\/blog.qceventplanning.com\/wp-content\/uploads\/2019\/10\/Event-in-post-135x135-2019-09-30T164830.009.jpg\" alt=\"food truck catering organized by festival planner\" srcset=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2019\/10\/Event-in-post-135x135-2019-09-30T164830.009.jpg 672w, https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2019\/10\/Event-in-post-135x135-2019-09-30T164830.009-300x200.jpg 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/p>\n<p>A few weeks out from the festival, we sent out a comprehensive email with logistical details about the event. We outlined load-in\/out times, parking information, primary point-of-contact information, and many more details. The goal is to ensure our vendors feel prepared for their arrival onsite. We marked each vendor\/exhibitor space with their name and booth number so they could easily find their space.<\/p>\n<p>Throughout the week, I\u2019ve made many phone calls to check up on orders, from the ice delivery to the Coca Cola beverage delivery to the largest amount of alcohol I\u2019ve ever ordered. We needed to confirm that the vendors\u2019 delivery times matched up with our schedule.<\/p>\n<p>Lastly, for those last-minute sponsors and VIP\u2019s, we distributed tickets and event information with a personalized touch.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Arrange_signage_displays\"><\/span>Arrange signage displays<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Next on my to-do list is placing the high number of signs we have in the perfect locations. Here are just some of the signs we still need to put up:<\/p>\n<ul>\n<li>Handful of large banners<\/li>\n<li>Artist installation signs<\/li>\n<li>Festival village schedule of activities<\/li>\n<li>Stage schedules<\/li>\n<\/ul>\n<h2><span class=\"ez-toc-section\" id=\"The_final_marketing_push\"><\/span>The final marketing push<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" width=\"672\" height=\"448\" class=\"alignnone size-full wp-image-17400\" src=\"https:\/\/blog.qceventplanning.com\/wp-content\/uploads\/2019\/10\/Event-in-post-135x135-2019-09-30T165117.086.jpg\" alt=\"radio personality advertising community festival event\" srcset=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2019\/10\/Event-in-post-135x135-2019-09-30T165117.086.jpg 672w, https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2019\/10\/Event-in-post-135x135-2019-09-30T165117.086-300x200.jpg 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/p>\n<p>Marketing really ramps up in the final days before the big festival. Our radio ads are playing across Northeast Ohio. We have many television interviews scheduled for the coming week. We\u2019ve already distributed 35,000 postcards have been distributed. We\u2019ve issued print ads in publications across our region. And we\u2019re promoting the event on social media like crazy.<\/p>\n<p>With one week left, our marketing is full speed ahead and is about as robust as I\u2019ve seen. Especially since attendees don\u2019t have to buy <a href=\"https:\/\/blog.qceventplanning.com\/2017\/09\/6-ways-add-technology-next-event\/\" target=\"_blank\" rel=\"noopener noreferrer\">advanced tickets<\/a> to attend. We are relying on the marketing strategy to bring in foot traffic.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Whats_next\"><\/span>What\u2019s next?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Tomorrow we have a group of volunteers from Dominion Energy visiting our festival footprint to fill in potholes, spread out gravel, build accessibility ramps, sweep and paint. A contractor is coming to weed the grounds, and I\u2019ve also repainted some of our stairwells to accommodate the site for those with disabilities.<\/p>\n<p>Many of the deliveries I ordered will come in over the next couple of days. On top of everything else, we also need to receive all the festival operational equipment. This includes freezers to store ice for the bars, radios to communicate with the team, and iPads to take payments at the merchandise counters, bars, and entry gates.<\/p>\n<p>We have a final festival operations meeting with festival leaders coming up. We will firm up and review roles and responsibilities as well as finalize the on-site logistics strategy. If it weren\u2019t for our amazing contractors, vendors, and volunteers, this festival wouldn\u2019t be possible. I\u2019m sure the ramp-up throughout the rest of this week will be even crazier, but it\u2019s all in good fun.
