Due to the nature of the virus, and the global attention it\u2019s received, people are attempting to take every precaution possible to keep themselves healthy. Aside from rigorous hand-washing and stocking up on disinfectants, some other safety measures include avoiding traveling\u2026 and avoiding other people altogether.<\/p>\n<p>As an <a href=\"https:\/\/www.qceventplanning.com\/blog\/2020\/03\/the-job-description-of-an-event-planner\/\" target=\"_blank\" rel=\"noopener noreferrer\">event planner<\/a>, this is pretty much the exact OPPOSITE of what you want! Yes, it\u2019s understandable why everyone\u2019s feeling this way lately, and yes, there definitely will be cases where it\u2019ll be best to either reschedule or cancel altogether. (At the end of the day, the safety of your clients and their guests always comes first!)<\/p>\n<p>But that doesn\u2019t mean that <em>all <\/em>events need to be avoided! It also doesn\u2019t mean that certain precautions can\u2019t be taken to help ensure that everyone stays healthy, and no unwanted germs are spread around. Realistically, the coronavirus doesn\u2019t necessarily <em>need <\/em>to impact the event planning industry so negatively. Human interaction is entirely possible! Corporate event planning.<\/a><\/li><li class='ez-toc-page-1 ez-toc-heading-level-2'><a class=\"ez-toc-link ez-toc-heading-3\" href=\"https:\/\/www.qceventplanning.com\/blog\/2020\/03\/how-the-coronavirus-outbreak-is-affecting-the-event-planning-industry-part-2\/#How_to_work_around_this\" >How to work around this:<\/a><\/li><li class='ez-toc-page-1 ez-toc-heading-level-2'><a class=\"ez-toc-link ez-toc-heading-4\" href=\"https:\/\/www.qceventplanning.com\/blog\/2020\/03\/how-the-coronavirus-outbreak-is-affecting-the-event-planning-industry-part-2\/#What_ALL_events_should_provide_to_guests\" >What ALL events should provide to guests<\/a><\/li><\/ul><\/nav><\/div>\n<h2><span class=\"ez-toc-section\" id=\"How_the_coronavirus_is_affecting%E2%80%A6\"><\/span>How the coronavirus is affecting\u2026<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<h2><span class=\"ez-toc-section\" id=\"1_Corporate_event_planning\"><\/span>1. <a href=\"https:\/\/www.qceventplanning.com\/online-event-courses\/corporate-event-planning\/\" target=\"_blank\" rel=\"noopener noreferrer\">Corporate event planning<\/a>.<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><a href=\"https:\/\/www.qceventplanning.com\/blog\/2019\/12\/the-difference-between-event-planning-and-event-management\/\" target=\"_blank\" rel=\"noopener noreferrer\">Event management<\/a> deals with the organization of company events, such as:<\/p>\n<ul>\n<li><strong>Conferences<\/strong><\/li>\n<li><strong>Fundraisers<\/strong><\/li>\n<li><strong>Seminars<\/strong><\/li>\n<li><strong>Company retreats<\/strong><\/li>\n<li><strong>Holiday parties<\/strong><\/li>\n<li><strong>Product launches<\/strong><\/li>\n<li><strong>Expos and <\/strong><a href=\"https:\/\/www.qceventplanning.com\/blog\/2014\/10\/trade-shows-get-rock\/\" target=\"_blank\" rel=\"noopener noreferrer\"><strong>Trade Shows<\/strong><\/a><\/li>\n<li><strong>And so much more!<\/strong><\/li>\n<\/ul>\n<p>Corporate event planning deals with small businesses, large companies, and everything in-between. Logically, the larger the client, the bigger the event can be. Whereas private events will tend to deal with a relatively smaller guest list, corporate event planners can often be putting together a function for <em>thousands<\/em> of people!<\/p>\n<p>Here, we run into similar issues to what destination wedding planners are facing \u2013 one of them being the reluctance to travel. People are hesitant about being stuck in crowded airports with total strangers, \u00a0traveling to unfamiliar territories, not to mention the risk of being caught up in quarantine during your travels. Rather than take the risk, most are simply opting to avoid it completely.<\/p>\n<p>Even if the corporate event is local, in a place that\u2019s free of the coronavirus, there\u2019s still a certain level of reluctance to take part. Try to think of it from the perspective of a potential attendee: <em>Sure, the area hasn\u2019t been hit with the virus YET. But I\u2019m going to be in a confined space with countless people, many of whom have traveled to the event from all over the world. There\u2019s no way to keep myself safe in an environment like that!<\/em><\/p>\n<p>Not necessarily!<\/p>\n<p><a href=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/03\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-5.png\"><img loading=\"lazy\" decoding=\"async\" width=\"672\" height=\"448\" class=\"alignnone size-full wp-image-18299\" src=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/03\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-5.png\" alt=\"\" srcset=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/03\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-5.png 672w, https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/03\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-5-300x200.png 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/a><\/p>\n<h2><span class=\"ez-toc-section\" id=\"How_to_work_around_this\"><\/span>How to work around this:<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<h3>To cancel, or not to cancel?<\/h3>\n<p>For starters, is the event scheduled to take place in a <a href=\"https:\/\/experience.arcgis.com\/experience\/685d0ace521648f8a5beeeee1b9125cd\" target=\"_blank\" rel=\"noopener noreferrer\">hard-hit area<\/a>? If so, then yes, it can\u2019t take place right now. Full stop. In such a situation, you\u2019ll need to sit down with your client and weigh all of the options. It very well may be that the best possible choice is to cancel it altogether.<\/p>\n<p>Yes, cancelling a corporate event \u2013 especially if it\u2019s a big one, with a large attendee list \u2013 can have financial consequences for the company. But it can prove to be even <em>more <\/em>damaging if your client were to proceed anyways, only to have next to no one show up.<\/p>\n<p>On top of that, what if they didn\u2019t cancel, only for a guest to attend and wind up getting sick? That\u2019s a PR nightmare right there!<\/p>\n<p>Alternately, if it\u2019s in the cards, your client can choose to reschedule to a later date. Whenever that is will be determined once their location is confirmed to be virus-free. If this is the chosen solution, urge your client to make the announcement publicly and as soon as possible.<\/p>\n<p>Not only will guests appreciate being given as much notice as possible, but it\u2019ll probably also look <em>good <\/em>on the company. After all, they\u2019d be showing that they care about their guests <em>more <\/em>than whatever benefits they\u2019d get from hosting the event.<\/p>\n<h3>If your client chooses to proceed\u2026<\/h3>\n<p>Depending on the scale of event, you can always review <a href=\"https:\/\/www.qceventplanning.com\/blog\/2018\/03\/event-planning-course-sample-the-budget-breakdown\/\" target=\"_blank\" rel=\"noopener noreferrer\">the budget<\/a> with your client and see if there\u2019s any room to add in any safety features or precautions. For example, you could consult local medical facilities\/personnel to get advice on any measures that could possibly be put into place for the event.<\/p>\n<p>Importantly, everyone on board should be prepared for the worst possible scenario. Ask your client, <em>what if at the event, an attendee suspects they may be infected with the coronavirus?<\/em> How will your client want to approach the situation? Should they, for instance, consider adding in some sort of isolation plan for symptomatic guests?<\/p>\n<p>It\u2019s critical that a crisis communication plan be arranged and put into place BEFORE the day of. In all likelihood, such measures won\u2019t even need to be utilized when the time comes. But simply knowing they\u2019re there if needed will ease the mind of not only your client, but every guest attending the event.<\/p>\n<p><a href=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/03\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-6.png\"><img loading=\"lazy\" decoding=\"async\" width=\"672\" height=\"448\" class=\"alignnone size-full wp-image-18300\" src=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/03\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-6.png\" alt=\"\" srcset=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/03\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-6.png 672w, https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/03\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-6-300x200.png 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/a><\/p>\n<h4><strong><em>Note: All of the above advice is applicable to <\/em><\/strong><a href=\"https:\/\/www.qceventplanning.com\/online-event-courses\/festivals-and-live-events\/\" target=\"_blank\" rel=\"noopener noreferrer\"><strong><em>festival and\/or live event planners<\/em><\/strong><\/a><strong><em>, too! <\/em><\/strong><\/h4>\n<h2><span class=\"ez-toc-section\" id=\"What_ALL_events_should_provide_to_guests\"><\/span>What ALL events should provide to guests<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Whether you\u2019re running a private celebration or a corporate event, a <a href=\"https:\/\/www.qceventplanning.com\/blog\/2019\/11\/how-to-become-a-party-planner\/\" target=\"_blank\" rel=\"noopener noreferrer\">birthday party<\/a> or a big music festival, you\u2019re going to need the same basic things on the day of.<\/p>\n<p>It\u2019ll alleviate a lot of the guests\u2019 concerns if they have access to PLENTY of things they can use to protect themselves throughout the day. Some examples would be:<\/p>\n<ul>\n<li><strong>Hand sanitizers<\/strong><\/li>\n<li><strong>Wet wipes<\/strong><\/li>\n<li><strong>Facial tissues<\/strong><\/li>\n<li><strong>Latex gloves<\/strong><\/li>\n<li><strong>Face masks, etc.<\/strong><\/li>\n<\/ul>\n<p>We\u2019re not saying that your clients have to go out and do anything fancy (although, hey, personalized face masks <em>could<\/em> potentially be the hottest trend of the year). It can be as simple as making sure there\u2019s plenty of hand disinfectant bottles around the venue. Or maybe setting up stations carrying the above items.<\/p>\n<p>But your client can have as much fun with it as they want! They can work it into their <a href=\"https:\/\/www.qceventplanning.com\/blog\/2018\/10\/what-does-an-event-decorator-do\/\" target=\"_blank\" rel=\"noopener noreferrer\">d\u00e9cor<\/a>, such as having cute little signs that playfully remind guests to keep their hands clean, not touch their face, etc. Each attendee could have their own \u2018medical supply kit\u2019. Maybe it\u2019s as easy as giving a bottle of hand sanitizer as the party favor!<\/p>\n<p>Want to discourage guests from shaking hands or hugging? How about introducing an official \u201cevent dance\u201d and encourage guests to use it as a greeting instead of touching each other! Just planting that seed in guests\u2019 head can help them feel safe if they want to say \u201cno\u201d to physical contact or getting too close to another person.<\/p>\n<p>Think about other ways you can change the venue to limit the spread of germs.\u00a0 In yesterday\u2019s piece, we discussed opting for outdoor weddings to take advantage of optimal ventilation and give people more space instead of cramming them inside a venue.<\/p>\n<p>Could this work for your event? Or how about changing the meal plan from a buffet where everyone is sharing serving utensils to a sit-down meal served by waiters, where everyone keeps their hands to themselves.<\/p>\n<p>Any little bit helps. Most importantly, it will REALLY comfort the guests.
