Though the majority of the time, none of these risks will come to pass, it\u2019s still just as important that you and your client are ALWAYS prepared for anything!<\/p>\n<p>This is why in your line of work, properly understanding risk management and its necessity is mandatory. After all, many of your clients won\u2019t stop to think of these factors. Their focus is the event itself; not necessarily the things you want to <em>avoid<\/em>.<\/p>\n<p>As the certified professional, it\u2019s your responsibility to not only make your clients aware of risk management, but implement solid strategies so that you know how to respond if something were to go wrong. Not to mention, it helps protect <em>you <\/em>and your business. Taking all needed measures to properly anticipate\/handle potential risks will help ensure that you adequately meet your <a href=\"\/blog\/2020\/04\/the-importance-of-a-well-written-event-contract-in-a-time-of-crisis\/\" target=\"_blank\" rel=\"noopener noreferrer\">contractual and legal obligations<\/a> to your client, as well as any insurance requirements pertaining to the event.<\/p>\n<p>So, what exactly <em>is <\/em>\u201crisk management\u201d? How best should you go about approaching it for each job? The larger the event, the more potential risks there are of something going wrong.<\/p>\n<p>By anticipating all of these potential risks <em>in advance<\/em>, you (and all other vendors and suppliers involved) can take the proper precautions needed to avoid them. Or, at the very least, know how to most effectively salvage things, should any unwanted surprises occur.<\/p>\n<p>In a nutshell, there are 4 main steps involved in the risk management process:<\/p>\n<ol>\n<li><strong>Anticipating potential risks and hazards<\/strong><\/li>\n<li><strong>Plan strategies to minimize or eliminate the risks<\/strong><\/li>\n<li><strong>Developing contingency plans for risks that can\u2019t be eliminated completely<\/strong><\/li>\n<li><strong>Effectively communicating these strategies to all relevant parties<\/strong><\/li>\n<\/ol>\n<p>Let\u2019s break down each step a bit further!<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Step_1_Anticipating_Potential_Risks_and_Hazards\"><\/span>Step 1: Anticipating Potential Risks and Hazards<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Try to imagine anything that possibly can go wrong. These are the potential risks and hazards you want to avoid! Most commonly, the factors that can pose a threat to your client\u2019s event would typically include:<\/p>\n<ul>\n<li><strong>Safety risks <\/strong>\u2013 This involves any type of risk of physical injury to yourself, your staff, your client, guests, vendors, suppliers, and anyone else involved with the event.<\/li>\n<li><strong>Damage to property or equipment <\/strong>\u2013 As a corporate event planner, you don\u2019t want any sort of harm to come to your property or equipment, as well as any property or equipment owned by <a href=\"\/blog\/2018\/12\/how-to-find-the-perfect-vendors-for-your-event-career-in-event-planning\/\" target=\"_blank\" rel=\"noopener noreferrer\">vendors<\/a>, suppliers, <a href=\"\/blog\/2018\/07\/corporate-event-planning-course-sample-researching-venues\/\" target=\"_blank\" rel=\"noopener noreferrer\">the venue<\/a>, etc. Weigh in external factors that could potentially take place during the event \u2013 such as intoxicated guests, bad weather, etc. \u2013 that might pose a threat to the integrity of the property and equipment.<\/li>\n<li><strong>Financial risk to your client\u2019s company <\/strong>\u2013 If the <a href=\"\/blog\/2018\/08\/corporate-event-planning-course-sample-audience-engagement-101\/\" target=\"_blank\" rel=\"noopener noreferrer\">turnout of attendees<\/a> isn\u2019t nearly as high as anticipated, this can result in a loss of profit for your client and their organization. Similarly, theft and\/or damage done by guests during the event can result in your client\u2019s wallet also taking a hit.<\/li>\n<li><strong>Risk to professional reputation <\/strong>\u2013 This can be <a href=\"\/blog\/2020\/01\/destroy-your-career-in-event-and-wedding-planning-in-5-easy-steps\/\" target=\"_blank\" rel=\"noopener noreferrer\"><em>your <\/em>reputation<\/a>, your client\u2019s reputation, or the reputation of any other vendor\/supplier involved with the event. When putting together these strategies, don\u2019t be afraid to communicate with your client, any <a href=\"\/blog\/2020\/05\/get-sponsorships-for-festivals-and-live-events-with-these-4-tips\/\" target=\"_blank\" rel=\"noopener noreferrer\">stakeholders<\/a> involved, and your fellow industry professionals involved in the event. They all have a part to play, after all!<\/p>\n<p>Plus, they may be able to offer insight and advice that you didn\u2019t previously consider. Stakeholders, for example, may be able to draw on their experience with past events, in order to provide guidance for the best risk management practices you can implement for <em>your <\/em>event.<\/p>\n<p>There are 4 main categories of risk management strategies:<\/p>\n<ol>\n<li><strong>Risk Retention\/Risk Acceptance <\/strong>\u2013 The act of determining whether the cost of managing the risk outweighs the cost of the risk itself. If the risk is relatively low in severity, it may not be worth it to spend time and money in the effort to avoid it altogether.<\/li>\n<li><strong>Risk Transfer <\/strong>\u2013 The act of transferring the assessed risk to a willing third party, such as an insurance provider. While this won\u2019t necessarily reduce the chances of the risk occurring, it <em>will <\/em>remove all responsibility from you, your client, and the vendors\/suppliers involved.<\/li>\n<li><strong>Risk Avoidance <\/strong>\u2013 This basically means any strategy where the aim is to avoid the risk completely. This can sometimes be incredibly pricey, though, so it\u2019s always important to circle back to the concept of Risk Retention when evaluating the severity of any possible hazard.<\/li>\n<li><strong>Risk Reduction <\/strong>\u2013 This is also known as \u201crisk control\u201d or \u201crisk mitigation\u201d. This involves taking steps to try and <em>reduce <\/em>the potential impact of the risk or hazard.<\/li>\n<\/ol>\n<p>When training to become a certified corporate event planner, your accredited course will ensure that you become well-versed in all 4 of these strategies. When coming up with these contingency plans, keep in mind both the overall severity and likelihood of each individual risk.<\/p>\n<p>The most effective way to plan for risks is to physically list out each one, and order them in terms of how damaging they would be and how likely they are to actually occur. You can start this list by categorizing each potential risk into one of the following groups:<\/p>\n<ol>\n<li><strong>Onsite Hazards <\/strong>\u2013 This would involve any potential risks that can take place at the location of the event itself. Examples would be tripping hazards, unsafe materials, electrical cable risks, etc.<\/li>\n<li><strong>Environmental Hazards <\/strong>\u2013 This would be any risks imposed by the environment that can lead to physical injury or damaged equipment. Examples include puddles of water, muddy grounds, etc.<\/li>\n<li><strong>Weather Hazards <\/strong>\u2013 Thunderstorms, hurricanes, tornadoes, heat exhaustion, and any other <a href=\"\/blog\/2017\/09\/8-clauses-every-event-planning-contract-needs\/\" target=\"_blank\" rel=\"noopener noreferrer\">force majeure<\/a> that\u2019s beyond a human being\u2019s control.<\/li>\n<li><strong>Financial Risks <\/strong>\u2013 Not enough guests in attendance, theft of cash\/property\/equipment, etc.<\/li>\n<li><strong>Food and Drink Risks <\/strong>\u2013 This can include allergic reactions, choking hazards, food poisoning, damage due to intoxication, etc.<\/li>\n<li><strong>Travel for Out-of-Town Guests or VIPs: <\/strong>Common examples would be delays, accidents, etc.<\/li>\n<li><strong>Unforeseeable Risks <\/strong>\u2013 Vendor\/supplier <a href=\"\/blog\/2018\/04\/know-deal-wedding-disasters\/\" target=\"_blank\" rel=\"noopener noreferrer\">no-shows<\/a>, acts of terrorism, pandemic, etc.<\/li>\n<\/ol>\n<p>Afterwards, you can then assess each category (and their respective, grouped risks) and figure out who or what these risks pose a direct threat to. Once you feel you have laid out everything and thoroughly understand the circumstances of each potential risk\/hazard, you can then prioritize them in terms of which require more time, attention, and cost, versus ones that may not require as much (or any) action.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Step_4_Effectively_Communicating_These_Strategies_to_All_Relevant_Parties\"><\/span>Step 4: Effectively Communicating These Strategies to All Relevant Parties<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>The thing about risk management is that it\u2019s basically ineffective if you\u2019re the only one prepared for it. Your client\u2019s event is a <em>team <\/em>effort. As such, it\u2019s crucial that the entire team is on the same page about this.<\/p>\n<p>Once you have your event\u2019s risk management plan mapped out, take the time to communicate it with everyone involved.
