They may also be referred to as a \u201cwedding coordinator\u201d or a \u201cwedding manager\u201d. They\u2019re the team member responsible for being the main point of contact with the venue. Frequently, the venue coordinator is <a href=\"text=A%20venue%20wedding%20coordinator%20is,details%20of%20your%20entire%20wedding\" target=\"_blank\" rel=\"noopener noreferrer\">most often associated<\/a> with the venue\u2019s Catering or Sales team.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"What_Can_a_Venue_Coordinator_Do_for_Clients\"><\/span>What Can a Venue Coordinator Do for Clients?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>In a nutshell, they can help a couple with the decisions being made in relation to the venue itself. Some examples can include:<\/p>\n<ul>\n<li>Menu selections<\/li>\n<li>Dining\/table setup<\/li>\n<li>Final guest counts<\/li>\n<li>Assisting with venue decor, setup, etc.<\/li>\n<li>Assisting with AV equipment<\/li>\n<li>Managing venue-related timelines and schedules<\/li>\n<li>Collection of payment for venue services<\/li>\n<\/ul>\n<p>A venue coordinator can be a very big help when it comes to all things pertaining to the venue! This definitely can\u2019t be denied. However, if you consider the <a href=\"\/blog\/2020\/04\/5-tips-for-getting-the-most-out-of-your-certified-wedding-planner\/\" target=\"_blank\" rel=\"noopener noreferrer\"><em>entire <\/em>wedding planning process<\/a>, the scope of their services is incredibly limiting.<\/p>\n<p>For a couple looking for professional assistance with their special day, there\u2019s only so much that a venue coordinator is going to be able to do. Here are a few examples of how on-site venue coordinators can only do so much for potential clients:<\/p>\n<h3><strong>Vendors and Suppliers<\/strong><\/h3>\n<p>If the venue has a list of recommended\/preferred <a href=\"\/blog\/2018\/12\/how-to-find-the-perfect-vendors-for-your-event-career-in-event-planning\/\" target=\"_blank\" rel=\"noopener noreferrer\">vendors or suppliers<\/a>, the venue coordinator can provide that information. When this option is available, it can definitely be useful for clients!<\/p>\n<p>Beyond that, though, that\u2019s about it. Venue coordinators often won\u2019t be the ones actually going about <em>securing <\/em>those services, nor are they required to do any further research for additional vendors\/suppliers who aren\u2019t already on the venue\u2019s list.<\/p>\n<h3><strong>Wedding Day Timeline<\/strong><\/h3>\n<p>Venue coordinators are fantastic at working out the timeline for any and all services being provided by the venue itself. They\u2019ll also ensure that any services being provided by their business will run smoothly and on-schedule for the client.<\/p>\n<p>However, that\u2019s pretty much it. If it doesn\u2019t have the do with a service directly provided by the venue, a venue coordinator isn\u2019t responsible for it. All other <a href=\"\/blog\/2015\/09\/free-download-a-wedding-day-timeline-template\/\" target=\"_blank\" rel=\"noopener noreferrer\">timelines<\/a> and schedules \u2013 as well as sticking to them \u2013 will be the responsibility of the client.<\/p>\n<h3><strong>Availability to Clients<\/strong><\/h3>\n<p>Many coordinators have a large amount of clients. They also work strictly during the venue\u2019s business hours, usually weekdays 9-5.<\/p>\n<p>All of this can result in delayed replies to phone calls, emails, and texts. It\u2019ll also be the client\u2019s responsibility to design the event on their own time, using their own resources.<\/p>\n<p>Venue coordinators have no part in helping couples organize their overall wedding. This means they can\u2019t assist with:<\/p>\n<ul>\n<li>Formulating and updating the <a href=\"\/blog\/2017\/05\/narrow-down-wedding-guest-list\/\" target=\"_blank\" rel=\"noopener noreferrer\">guest list<\/a><\/li>\n<li>The overall <a href=\"\/blog\/2018\/06\/stretch-budgets-and-shrink-guest-lists-with-a-certificate-in-event-planning\/\" target=\"_blank\" rel=\"noopener noreferrer\">budget<\/a> for the whole wedding event<\/li>\n<li>Save The Dates, <a href=\"\/blog\/2015\/11\/8-creative-alternatives-to-traditional-invitations\/\" target=\"_blank\" rel=\"noopener noreferrer\">invitations<\/a>, Thank You cards, etc.<\/li>\n<li>Finding vendors and suppliers outside of the venue<\/li>\n<li><a href=\"\/blog\/2016\/01\/helping-your-bride-pick-the-perfect-wedding-dress\/\" target=\"_blank\" rel=\"noopener noreferrer\">Bridal gowns<\/a>, suits, etc.<\/li>\n<li><a href=\"\/blog\/2016\/08\/help-clients-pick-right-wedding-cake\/\" target=\"_blank\" rel=\"noopener noreferrer\">Cake tasting and selection<\/a><\/li>\n<li>Putting together speeches or toasts<\/li>\n<li>Finding an officiant, priest, etc.<\/li>\n<li>And much more!<\/li>\n<\/ul>\n<p>In short: if a couple is looking for professional help with the actual <a href=\"\/blog\/2019\/11\/10-wedding-planning-tips-from-a-pro-wedding-planner\/\" target=\"_blank\" rel=\"noopener noreferrer\">wedding planning process<\/a>, they won\u2019t be able to get this from a venue coordinator.<\/p>\n<p><a href=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/07\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-93.png\"><img loading=\"lazy\" decoding=\"async\" width=\"672\" height=\"448\" class=\"alignnone size-full wp-image-18667\" src=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/07\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-93.png\" alt=\"\" srcset=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/07\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-93.png 672w, https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/07\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-93-300x200.png 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/a><\/p>\n<h3><strong>The Main Priority<\/strong><\/h3>\n<p>Because a venue coordinator works <em>for <\/em>the venue, it only makes sense that their main priority is going to be the best interests of the venue itself. While this is great in many aspects, it might not always be ideal for the client.<\/p>\n<p>A couple planning their nuptials should be getting help someone who is all about making THEM the number one priority!
