One such area you can expect to become an expert in is budgeting.<\/p>\n<p>Earlier this month, we delved into <a href=\"\/blog\/2020\/08\/breaking-down-the-budget-part-1-general-cost-factors\/\" target=\"_blank\" rel=\"noopener noreferrer\">general cost factors<\/a> that affect your client\u2019s budget, as well as the priorities you\u2019ll need to keep in mind when determining the scope of the project. The more money your client has <a href=\"\/blog\/2018\/03\/event-planning-course-sample-the-budget-breakdown\/\" target=\"_blank\" rel=\"noopener noreferrer\">to put towards the event<\/a>, the likelier the event will be to turn out exactly as they\u2019ve envisioned it. As their event planner, a bigger budget also gives <em>you <\/em>more flexibility, too.<\/p>\n<p>But the simple fact is, many of your clients will <em>not <\/em>be able to afford the event of their dreams. This is why it\u2019s up to you to rely on your training and skill-set! Your industry knowledge is the defining factor that can help clients make the most of <em>any <\/em>budget, in order to get the best possible outcome while still remaining realistic.<\/p>\n<p>In a lot of cases, this is done by cutting costs and reducing spending. While not always ideal, it\u2019s often necessary. There will be times, however, where this method simply won\u2019t be enough. Sometimes, for your client\u2019s event to truly be a success, there\u2019ll be no choice BUT to increase the budget.<\/p>\n<p>While this is most common with <a href=\"\/blog\/2020\/06\/3-ways-charities-nonprofit-organizations-can-help-you-become-an-event-planner\/\" target=\"_blank\" rel=\"noopener noreferrer\">charity and non-profit events<\/a>, you may also encounter this scenario in the world of <a href=\"\/blog\/2020\/08\/corporate-event-management-external-events\/\" target=\"_blank\" rel=\"noopener noreferrer\">corporate planning<\/a>, or even for private events and weddings.<\/p>\n<p>At that point, the real question becomes: how do you do this?<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Option_1_Internal_Funding\"><\/span>Option 1: Internal Funding<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>This first possibility is basically money that comes from the event\u2019s host, A.K.A. your client(s). If you\u2019ve attempted to <a href=\"\/blog\/2018\/06\/stretch-budgets-and-shrink-guest-lists-with-a-certificate-in-event-planning\/\" target=\"_blank\" rel=\"noopener noreferrer\">cut costs<\/a>, but have found that more money is still required in order to pay for the event\u2019s biggest priorities, your client may need to explore their options and see if additional, internal funding can be secured.<\/p>\n<p><strong><em><a href=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-5.png\"><img loading=\"lazy\" decoding=\"async\" width=\"672\" height=\"448\" class=\"alignnone size-full wp-image-18795\" src=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-5.png\" alt=\"\" srcset=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-5.png 672w, https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-5-300x200.png 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/a><\/em><\/strong><\/p>\n<p>Here are some common examples where clients may choose to increase their budget through internal funding:<\/p>\n<ul>\n<li>If a couple planning their wedding can\u2019t afford to pay for it all by themselves, they may reach out to their parents and\/or extended family to see if they can help contribute to the budget<\/li>\n<li>If you\u2019re a <a href=\"\/blog\/2019\/12\/the-difference-between-event-planning-and-event-management\/\" target=\"_blank\" rel=\"noopener noreferrer\">corporate event planner<\/a> and your client would like to increase their budget, they may try and see if the company itself can afford to provide additional funding for the event<\/li>\n<li>If you\u2019re organizing a private event and your client is dead set on getting more money, they may choose to take out a loan in order to increase their budget<\/li>\n<li>Your client may want (or be willing) to have a <em>collaborative <\/em>event, wherein they join their celebration with someone <em>else\u2019s <\/em>celebration and pool their money into a cumulative budget<\/li>\n<\/ul>\n<h4><strong>Note: <\/strong>While definitely all options are possible, some methods of securing internal funding should be approached with caution. For example, <em>never <\/em>recommend that your client take out a loan in order to increase their budget. While you may not be <a href=\"\/blog\/2020\/07\/event-planning-training-managing-liability\/\" target=\"_blank\" rel=\"noopener noreferrer\">legally liable<\/a> in the event that they be unable to pay the loan back, a move like this has a high chance of <a href=\"\/blog\/2017\/05\/ways-ruin-event-planning-career\/\" target=\"_blank\" rel=\"noopener noreferrer\">ruining your reputation<\/a>. If your client is considering taking out a loan, advise them to speak with a financial expert before making such a decision.<\/h4>\n<h2><span class=\"ez-toc-section\" id=\"Option_2_External_Funding\"><\/span>Option 2: External Funding<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>This second option is equally as popular, and allows your client to increase their budget by raising money from outside sources. In order to not alienate the guests from your client and their celebration, it\u2019s critical that the choice to donate money to the event is strictly <em>optional. <\/em>If guests feel pressured into paying for the event, they might not want to go at all!<\/p>\n<p>An obvious risk external funding poses is that you and your client are at the mercy of the attendees, so to say. If a significant percentage of guests choose <em>not <\/em>to contribute financially, you may not be able to successfully increase the budget.<\/p>\n<p>On the other hand, when the majority of the guests <em>do <\/em>contribute, it\u2019s a very effective way to achieve this goal! As an added bonus, there\u2019s a good chance that the attendees who have helped raise money will actually value the event even <em>more<\/em>, since their donation played an active role in the event coming together.<\/p>\n<p>Some common ways to raise external funding include:<\/p>\n<ul>\n<li>Selling tickets to the event<\/li>\n<li>If your client is having a wedding, <a href=\"\/blog\/2015\/11\/fun-stag-and-doe-games\/\" target=\"_blank\" rel=\"noopener noreferrer\">Stag and Doe parties<\/a> can be organized beforehand, in order to help generate extra funds via donations or ticket sales<\/li>\n<li>50\/50 raffles<\/li>\n<li>If your client is from a charity or non-profit organization, external funding is often secured through <a href=\"\/blog\/2017\/09\/find-event-sponsors-hurry\/\" target=\"_blank\" rel=\"noopener noreferrer\">fundraising and\/or sponsorships<\/a><\/li>\n<li>If your client is corporate and\/or hosting a live event, external funding can likewise be found through <a href=\"\/blog\/2020\/05\/get-sponsorships-for-festivals-and-live-events-with-these-4-tips\/\" target=\"_blank\" rel=\"noopener noreferrer\">sponsors and\/or stakeholders<\/a> willing to invest in the function<\/li>\n<\/ul>\n<p><strong><em><a href=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-6.png\"><img loading=\"lazy\" decoding=\"async\" width=\"672\" height=\"448\" class=\"alignnone size-full wp-image-18796\" src=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-6.png\" alt=\"\" srcset=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-6.png 672w, https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-6-300x200.png 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/a><\/em><\/strong><\/p>\n<h2><span class=\"ez-toc-section\" id=\"Option_3_Crowdfunding\"><\/span>Option 3: Crowdfunding<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Over the years, crowdfunding campaigns have drastically increased in popularity. This is due to websites (such as Kickstarter and GoFundMe) offering a straightforward way to receive public donations through a convenient, online platform. Because crowdfunding makes it possible for large numbers of people to contribute, small donations can still accumulate into a large pot of money once all added together!<\/p>\n<p>Crowdfunding can be seen as a mash-up of both internal and external funding, as it shares characteristics of these other two options. The determining factor is <em>when <\/em>your client would choose to launch their crowdfunding efforts.<\/p>\n<p>Crowdfunding <em>before <\/em>the planning process begins can help set the actual event budget altogether. If, on the other hand, you\u2019re in the middle of the planning stage and your client is looking for ways to increase their budget, crowdfunding can also be done <em>during <\/em>the planning process, too. Just be aware that either way, you\u2019re still at the mercy of the donors, similar to external funding.<\/p>\n<p>While your client can set a goal amount, there\u2019s no guaranteeing that it\u2019ll be met. Another thing to keep in mind, if pursuing this option, is that certain crowdfunding platforms are based on reward systems. Meaning, your client won\u2019t be getting something for nothing. Certain sites, such as Kickstarter, are structured so that donors get some sort of reward in exchange for their monetary donation.<\/p>\n<p>If your client chooses to start a crowdfunding campaign on a reward-based model, it wouldn\u2019t hurt to sit down with them and brainstorm some fun and creative ways they can thank their donors \u2013 such as providing VIP status at the event, for example!<\/p>\n<p><strong><em><a href=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-7.png\"><img loading=\"lazy\" decoding=\"async\" width=\"672\" height=\"448\" class=\"alignnone size-full wp-image-18797\" src=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-7.png\" alt=\"\" srcset=\"https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-7.png 672w, https:\/\/www.qceventplanning.com\/blog\/wp-content\/uploads\/2020\/08\/Copy-of-Event-In-Post-Event-Logo-Overlay-135x135-7-300x200.png 300w\" sizes=\"auto, (max-width: 672px) 100vw, 672px\" \/><\/a><\/em><\/strong><\/p>\n<p>In order to prosper in your career, budgeting is a fundamental part of the industry that you\u2019re going to need to master.
